Data Sync Troubleshooting

Resolve cloud sync failures, data loss issues, and database schema migrations

If you are experiencing issues with Cloud Sync, think your journals are missing, or encountered sync conflicts, please review this troubleshooting checklist.


Data Diagnostics

If you encounter any database, missing entries, or synchronization issues, please use our built-in diagnostics tool first:

  1. Open Grid Diary, go to the Me tab, and select Settings > Data > Data Diagnostics.
  2. View the scan status of your local database. Under normal circumstances, the status will show that your data is healthy.
  3. If any issues are detected, the app will suggest recommended operations. Please follow the prompts on the interface to repair your database.

Data Loss Issue Checklist

If you find that some of your journals or entries are missing, please run through these diagnostic steps:

1. Ensure You Are Logged In

For data security, your active Grid Diary session can occasionally expire. If sync seems to have stopped, you may have been logged out.

  • Go to the Me tab.
  • Verify that your registered username/email is shown at the top. If not, log in again using your registered account.

2. Check Guest Mode Mismatch

If you previously wrote diaries in Guest Mode (offline) and noticed they disappeared after logging into your synced account, they were likely ignored during login:

  • When logging in, the app prompts you to Import, Ignore, or Clear existing Guest Mode entries.
  • If you chose Ignore, your offline diaries are still safe on your device but are hidden while logged in.
  • How to recover: Log out of your account to return to Guest Mode, confirm your entries are there, log in again, and choose Import to safely merge them into your synced cloud account.

If you choose Clear when logging in or delete the app while in Guest Mode, your offline local entries will be permanently deleted and cannot be recovered.

3. Verify Email Registration

  • Make sure that you are logged into the exact email address you used during registration.
  • Typos: If you registered with a typo in your email, a duplicate account will be created, and your diaries will not show up. If you are experiencing this, please contact Grid Diary support with your billing receipt or registration details.

Synchronizing Issues & Errors

If the app fails to synchronize across your iPhone, iPad, Mac, or Android:

  1. Version Alignment: Ensure all devices are upgraded to v3.0.0 or newer. Older client versions do not support the latest sync engine.
  2. First-Time Encryption (E2EE): If you just enabled End-to-End Encryption, perform it on one device only, and keep other devices offline or closed until the sync completes.
  3. Database Schema Migrations: If the app prompts you to perform a schema migration, or if sync is stuck after multiple retries, you may need to perform a Server Data Reset. See our Server Data Reset Guide for detailed instructions.
